Visio Data Visualizer is gone – how to still turn your Excel step table into a swimlane diagram

Your step table is still there, only the add-in isn't. One way on iPad: copy the rows, paste them into AIxFlow, get a BPMN diagram with swimlanes.

Was Microsoft abgeschaltet hat

What Microsoft switched off

The Visio Data Visualizer add-in for Excel was removed from the add-in store, templates and ribbon starting January 2026. On March 2, 2026 Microsoft shut down the service behind it: embedded diagrams no longer load or refresh. The table data in the workbook stays intact.

If you don't have a Visio Plan 2 subscription or work on an iPad, you're left with a table and no diagram. That table, however, is a good starting point.

Der Weg: Tabelle → Text → BPMN

The route: table → text → BPMN

1

Zeilen kopieren

1

Copy the rows

In Excel (on iPad or computer), select the step table including its header row and copy it. The Data Visualizer columns – step ID, description, next step, connector label, function/swimlane – are all you need.

2

In AIxFlow einfügen

Bibliothek → „Aus Text erzeugen (KI) …“.

2

Paste into AIxFlow

Library → “Generate from text (AI) …”. Add one line of instruction, then paste the copied rows below it (example below).

3

3

Check the diagram and keep going

The AI provides the logic (steps, decisions, swimlanes), auto-layout does the arrangement. Then keep editing by tap or correct it in plain language (“Add an approval by the purchasing manager after step 4”).

Eingabe in AIxFlow – erste Zeile Anweisung, darunter die eingefügten Zeilen:

Input in AIxFlow – first line instruction, then the pasted rows:

The result is a BPMN diagram you can share as BPMN 2.0 (.bpmn, opens in Camunda Modeler, bpmn.io and others), PDF, SVG or PNG – or as a read-only web link.

Was geht – und was nicht

What works – and what doesn't

Geht

  • Kein .vsdx: AIxFlow exportiert BPMN 2.0, PDF, SVG, PNG – keine Visio-Datei.

Works

  • Swimlanes from the “Function” column, decisions with labeled branches
  • Free text instead of a table: the AI also understands “first … then … if …”
  • Keep editing afterwards, rearrange, correct in plain language
  • Export as real BPMN 2.0 instead of a Visio-only format

Doesn't work

  • No Excel or CSV import: the route is copy and paste as text.
  • No live link: if you change the table, regenerate the diagram or correct it in plain language.
  • No .vsdx: AIxFlow exports BPMN 2.0, PDF, SVG, PNG – not a Visio file.
  • iPad only (iPadOS 17 or later).
  • The AI can be wrong – check the diagram once before sharing it.

Fragen

Questions

Was kostet das? What does it cost?

Modeling, auto-layout and PNG export are free. The AI comes in two flavors: on device (free, needs an iPad with Apple Intelligence, suited to short flows) and in the cloud (with Pro, the more reliable choice for longer tables). Export as BPMN, PDF and SVG is part of Pro.

Can I use a screenshot of the table instead of copying?

Yes, via “Generate from photo (AI)” in the library (cloud AI, Pro). Copied text is more accurate, though, because nothing needs to be recognized first.

Was ist mit meinen alten Data-Visualizer-Diagrammen? What about my old Data Visualizer diagrams?

The embedded diagrams stopped loading on March 2, 2026, but the tables in the workbook are unchanged. Those are exactly what you use for the route above.

Warum BPMN statt einfachem Flussdiagramm? Why BPMN instead of a plain flowchart?

BPMN 2.0 is an open standard: the file opens in many tools and isn't tied to one vendor. If you only need a picture, export PNG or PDF.
